Field service software for water treatment companies

Sales and field service, in one connected system

From enquiry to site visit and back to the next enquiry

The sales team and the service team work from the same customer and site list, so nothing is typed twice and nothing is chased on WhatsApp.

1Enquiry to quotationSales logs the enquiry, follows it up, and sends a quotation with VAT and a printable PDF.
2Won, and handed overOne click creates the site, with its contract dates, for the Operations team to schedule.
3Visit, report, new enquiryThe engineer fills the service report; anything new the client needs goes straight back to Sales.

Service reports

A report for every visit, in your own format
  • Opens when the engineer checks outFill it in now, or later: when many samples are being tested, the report simply stays pending.
  • Templates for each type of reportChilled water, domestic water, an AMC checklist, or your own, with units and control limits.
  • Out-of-limit values turn red by themselvesThe engineer and the coordinator see problems at once, on the phone and on the printout.
  • Reviewed by the coordinatorEdit, send back, mark as reviewed, and print a PDF with your logo and layout.
  • Visit-again requestsThe engineer asks for another visit; it appears in a to-schedule list and goes on the planner for the same engineer in one click.
  • AMC visits scheduled in one goChoose the engineer and how often (monthly, quarterly…) and the whole contract is on the planner.

Operations and field

What the service side sees

Same underlying schedule and site data, presented two ways — a planning & review view for the coordinator, a check-in-and-go view for the engineer on their own phone.

Operations app

For whoever runs the daily schedule
  • Planner & month viewAssign engineers to jobs, leave and breakdowns, or copy one engineer's jobs to others. Engineer records hold Emirates ID, passport, visa and position, with expiry flags.
  • Dispatch: WhatsApp first, email if you want itSends the day's schedule as a clean table for your WhatsApp group. Switch to email with one click. Cancelled sites are left out automatically.
  • Sites and AMC contractsSite type (AMC, job, project, lab service), client, AMC start and end dates with expiry warnings, contact, access notes, location and visit history. A new site can be added right when creating a job.
  • Live attendance reviewEvery check-in and check-out with GPS distance from the saved point, and how long the engineer was on site (for example 09:00 – 12:00, 3 hours). Refreshes automatically while watching today.
  • Lab sample scheduleSamples by site, circuit and test (Legionella, Micro, TBC, Chemical), assigned to an engineer and tracked from collected to sent to the lab. Filter by month, client, site type, circuit, test, status or engineer. A table is ready to send to the lab.
  • Leave and annual leave planningEach engineer's leave and weekly-off history, their annual leave entitlement, days taken and remaining, and a plan for when they will take their leave this year, which can be added to the Planner in one click.
  • Leave, permission and advance requestsEngineers submit from their phone; coordinator approves or rejects from here.

Engineer app

For field engineers, on their own phone
  • Sign in with Employee ID + PINNo email, no password reset, no account to create — sent once over WhatsApp.
  • Today's jobs, nothing elseOpens straight to what they're assigned today — no schedule to dig through.
  • Check in / out with one tapGPS location is logged against the job automatically.
  • Site cancelled? Tell the coordinatorOne tap with a reason. The coordinator sees it straight away and gives the engineer another site. Coordinators can also mark a site cancelled and reassign from the Planner.
  • Site details on arrivalClient, AMC status, contact, how to get in, a Google Maps Directions button, and the lab samples to collect, tapped off as collected.
  • Raise leave / permission / advanceSubmit a request and see its status — approved, pending, or rejected — without a phone call.

Security review — our own initiative

Loopholes we identified and closed, unprompted

ThiruDhayal TechSupport audited how a field engineer could get around check-in/out — the same way a determined engineer would try — and built the fix into the app rather than waiting for it to become a problem.

1
Location is always checkedEvery check-in and check-out records the engineer's GPS position. If GPS isn't available it is still allowed, but marked for the coordinator to review.
2
Date can't be spoofedThe visit's date is stamped by the server's own clock, not the phone's — changing the phone's date doesn't change which day it's filed under.
3
Instant checkout is flaggedChecking out under 10 minutes after checking in is automatically marked for the coordinator to look at.
4
Off-site check-ins stand outEach visit shows its distance from the site's saved GPS point, so anything outside the expected radius is visible at a glance, not buried in a log.

Rollout

How it reaches an engineer's phone

No app store, no IT install, no company device required.

1One WhatsApp messageCoordinator sends each engineer their personal sign-in link from Setup, once.
2Add to Home ScreenOpens like any other app icon from then on — built on the phone's own browser, no download.
3Sign in onceEmployee ID + PIN, then it's remembered on that phone.

See it live

The full system on sample data. Follow one job all the way round: as Sales, add an enquiry, write a quotation and mark it won; as Operations, the new site is there to schedule; as an engineer, check out and fill in the service report. The data resets every night.
